Attendance, Fees and Results: A Checklist for Running a Coaching Centre Without Chaos
Most coaching centres begin with a register, a phone and good intentions. At 30 students that works. At 150 students across several batches, details start slipping: someone's fees are unrecorded, a test score is lost, a parent is told the wrong date.
This checklist helps you see where your centre stands and what to fix first. It applies whether you use paper, spreadsheets or software.
1. One Record per Student
Every student should have a single record, in one place, with:
- Name, class, board and school
- Parent or guardian name and phone number
- Batch and subjects
- Admission date and fee plan
- Notes (strengths, weak areas, special needs)
If the same student appears in three different registers with different spellings, start here.
2. Attendance
Attendance matters for results, for parents and for fee discussions.
- Record it every class, not at the end of the week.
- Record late arrivals separately if you want to track punctuality.
- Review absences weekly. Three missed classes in a row deserves a call to the parent.
- Keep a monthly summary per student and per batch.
Test: can you tell, within a minute, how many classes a given student attended last month?
3. Fees
Fee confusion causes more friction than almost anything else.
- Write down each student's fee, instalment dates and discounts.
- Issue a receipt for every payment and keep a copy.
- Review dues weekly. Reminders should be polite, specific and sent early.
- Keep a record of who collected the money and when.
- Reconcile cash and online payments at the end of each week.
Test: can you list all students with pending fees today, with amounts and due dates?
4. Tests and Results
Regular tests tell you who needs help while there is still time.
- Schedule tests on a calendar and tell students and parents in advance.
- Record scores per student, per subject, per test.
- Look at trends rather than single scores. A drop over three tests matters more than one bad day.
- Share results with parents in a simple, consistent format.
Test: can you show one student's last five test scores in one view?
5. Timetables and Batches
- Publish the timetable and update it when it changes.
- Avoid clashes for teachers and rooms.
- Note holidays and make-up classes in advance.
6. Parent Communication
Parents want to know three things: is my child attending, how are they doing and what do I owe?
- Use one communication channel as the main one (usually WhatsApp).
- Send monthly or fortnightly updates with attendance and test results.
- Get consent before adding parents to groups.
- Keep a record of what you told whom.

7. Staff
- Record teacher schedules, classes taken and substitutions.
- Keep each teacher's batch list and test responsibilities clear.
- Review workload fairly.
8. Data Safety
You hold children's names, phone numbers and results.
- Limit who can see and edit records.
- Keep backups.
- Do not share data in public groups.
- Remove access when staff leave.
When Spreadsheets Stop Working
Signs you have outgrown them:
- Several people edit the same file and overwrite each other.
- You cannot answer simple questions (who owes fees, who is absent) quickly.
- Reports take hours to prepare.
- Parents ask for updates you cannot produce easily.
At that point, a proper system helps. OkClass provides campus technology for institutions, including managed WiFi, ERP integration and a student app. Whatever you use, keep it simple enough that every teacher and front-desk person will actually use it.

The Short Version
One record per student, attendance every class, fees reviewed weekly, tests tracked over time and parents kept informed from a single source. Fix those five things first.
